Event Management

General

  • To be responsible for the overall co-ordination of the project and post-event evaluation
  • To maintain and monitor the event’s budget
  • Planning and pre-production meetings
  • Application for public entertainment licence & PRS licence
  • To act as the principal point of contact for all suppliers, the venue and the client
  • On-day co-ordination of the event

Suppliers/contractors

  • To brief and select suppliers (where applicable and subject to client approval)
  • To act as the principal point of contact for suppliers, contractors and in-house departments: artists, design & print, production, site management, box-office, catering, corporate hospitality, fireworks, security, stewarding, fireworks, cleaning, HoDs for the venue etc

Production

  • Makeithappen will prepare a brief and tender document for production services, covering stage, lighting and sound, crew and all ancillary equipment.

Site services

  • We will work closely with the venue, Makeithappen will organise the event site infrastructure, encompassing barriers, temporary roadways, power, cleaning, toilets, signage, crew catering & concessions.

Security/Stewarding/crowd control

  • Makeithappen will prepare the brief to appoint contract security, who will be responsible for the safety of the public whilst at the event, parking and traffic management.

Health & Safety

  • Work alongside the venue’s/licensee’s in the emergency planning procedures.
  • Liaison with licensing authorities, police, fire, ambulance etc
  • Ensure procurement of Health & Safety documentation: H&S policy, emergency plan, stewarding plan, traffic management plan, method statements, risk assessments and safety certification from suppliers.
  • On-site communications, pass system and emergency equipment

Public Catering/Merchandising

  • Organisation of public catering concessions and merchandising outlets

Catering

  • Organisation of food for crew, performers and event staff

Corporate Hospitality

  • We are happy to work alongside your chosen provider of corporate hospitality, if appropriate.

Ticket administration

  • Sourcing, set up and briefing of box-office provider
  • Day to day liaison with box-office for sales reports, promotions etc
  • Allocation and distribution of complimentary tickets on behalf of client

Sponsors and sampling partners

  • Act as point of contact with sponsors and ensure delivery of promised benefits, pre-event and at the event promotions, branding, hospitality
